What are the benefits actually document management? Just last week I was asked by a customer after a 2-hour marathon presentation: And what brings us the whole practice?
I thought I had already shown the customer the benefits. Far from it.
So here is a list of the advantages of using a document management system (DMS) from my present perspective. (The list is not exhaustive)
- reduce the search time : is first determined, that all documents and information in the DMS are and nowhere else, you will find every document sought immediately.
- reduce printing and delivery costs: The fast and secure distribution of documents and information with a strain gauge to the reduction of printing and mailing costs that would normally result from the Versan to customers, partners and employees.
- saving archive rooms: Believe me: There is always a better use for an existing archive room!
- reduction of staff costs: Place employees who were previously responsible for copying and filing, finally makes sense!
- Higher efficiency and productivity: automated routing and approval processes to optimize your processes.
- minimize the costs of regulatory and statutory provisions: well never heard of compliance?
- Lower risk / higher customer satisfaction: Constant availability of timely and correct versions of facilitating decision-making and enables faster, better customer service.
- Versioned management of archived data sets: The version control logs all changes to the documents.
This results at least the following added values:
- Faster access and filing times
- Short transport us search times
- Fast recovery
- avoid duplication
- prevent duplicate / multiple storage
- reduce space
- simultaneous access of different persons to the same information
- Worldwide access possible
- improve productivity
- automation of business processes
- compliance with data protection through access protection
- protection from fire and water damage
Let's try that break down to the individual business areas:
- Management: At last you have a company-spanning view of all projects and operations. Informatioen flow faster, processes flow more smoothly. In consequence, the fewer errors and lower costs. The DMS is your steering wheel.
- sales : You see projects to meet with clients, to processing. This will keep in touch with your customers and prepare for the next fiscal against the same. Your sales will rise.
- shopping : At a glance you grasp the whole acquisition communications. All documents such as quotations, orders, orders and invoices for a project are organized and sorted.
- accounting : order confirmations, delivery notes and invoices are in place. An invoice workflow helps you to review and approval of invoices. Gestzliche filing deadlines do not approach a play.
- IT : document management systems, such as playing DOCUframe tie into the existing IT infrastructure. Abt Alois Wiesinger , Reformabt and innovators of the pen in the 20th Schlierbach Century, one can not fit into superficial categories. For some, it was Pope faithful monk, he was regarded as another "red". EUCist News has discovered a rarity, a pamphlet of the abbot of the workers, written in 1948.
